Job Description
Job Summary:
We are seeking a detail-oriented and proactive Human Resources & Admin Officer to join our team. The
HRO will play a key role in supporting the HR department by managing daily administrative tasks,
assisting in the coordination of local & regional HR projects and ensuring compliance with local labor
laws and company policies.
Responsibilities:
- Employee Record Management:Maintain up-to-date and organized employee files (contracts, letters, performance
reviews, etc.)
o Ensure confidentiality of employee data and compliance with company policies.
- Leave and Attendance Management: Track and manage leave requests, sick leave forms and absenteeism records
o Ensure timely submission and processing of leave forms and medical certificates
o Maintain accurate records of employee attendance and communicate discrepancies.
- HR Documentation and Follow-Up:Assist in preparing HR-related documents such as employment contracts, offer letters,
confirmation letters and other official communication Follow up on pending HR matters such as contract renewals, probation evaluations
offboarding procedures, including exit interviews, final settlements and other required
documentation.
- Payroll & Benefits Assistance: Collect, verify and organize necessary information to assist with in-house payroll
processing. Ensure accurate input of leave, overtime and salary adjustments. Assist in resolving payroll-related inquiries and discrepancies.
- Recruitment Support: Assist in regional recruitment activities, such as posting job vacancies, scheduling
interviews and coordinating with recruitment agencies.
- Employee Relations: Serve as a point of contact for employee queries regarding HR policies and procedures.
Assist in resolving employee issues and escalate to HR management when necessary.
- Compliance & Reporting:
o Ensure compliance with local labor laws and company policies. Prepare regular HR
reports and analytics for Country Manager & regional HR management.
- HR Projects:
o Assist in the planning and execution of regional HR initiatives, including training
programs, employee engagement activities and performance management processes.
- Office Management: Oversee office cleanliness by managing the cleaner’s schedule and tasks
o Ensure office supplies are stocked and handle procurement of office materials when
necessary
o Manage maintenance of office equipment (printers, phones, etc.) and coordinate repairs
when needed.
- Travel and Hotel Bookings: Coordinate flight and hotel bookings for staff and visitors as required
o Ensure travel arrangements are made within company policy and in a cost-effective
manner.
- General Administrative Support: Assist with general administrative tasks such as filing, scanning and organizing office
documentation
o Support office events, meetings and other administrative activities as needed.
- Vendor and Utility Management: Liaise with service providers and vendors for office-related services (e.g. utilities,
cleaning, internet and security). Ensure timely payment of utility bills and contract renewals.
- Assist in Office Budgeting:
o Track office expenses, prepare reports on office costs and assist in budget planning for
office supplies and travel costs.
Requirements
- Bachelor’s degree in human resources, Business Administration or a related field.
- 3-4 years of experience in HR Administration role, preferably in a regional setting.
- Proficiency in HR & Payroll software (e.g., HRIS, ATS) and MS Office Suite (Word, Excel,
PowerPoint).
- Knowledge of HR practices, local labor laws and regulations within Tanzaina and the region.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Attention to detail and problem-solving skills.
