Job Summary:
Our client is seeking a reliable
and organized
Document Controller to join our team. The ideal candidate will be responsible
for managing and controlling the flow of documents within the organization,
ensuring accuracy, completeness, and compliance with relevant regulations. The
Document Controller will play a crucial role in maintaining efficient document
management systems and facilitating communication among project stakeholders.
Responsibilities:
- Establish and maintain document
control procedures in compliance with company policies and industry standards.
- Receive, log, distribute, and
track all project documents, including drawings, specifications, contracts, and
correspondence.
- Organize and maintain both
electronic and hard copy filing systems for easy retrieval and reference.
- Ensure all documents are
accurately labelled, numbered, and stored in designated locations.
- Collaborate with project teams
to establish document control requirements and workflows.
- Monitor document submission
schedules and follow up with project team members to ensure timely submission
of deliverables.
- Perform regular audits of
document control processes to identify areas for improvement and ensure
compliance.
- Generate reports on document
status, distribution, and tracking as required by project management.
- Provide training and support to
project team members on document control procedures and systems.
- Assist in the preparation of
document transmittals, submittals, and other project-related communications.
Requirements
- Bachelor's degree in a relevant
field or equivalent work experience in document control within the construction
industry.
- Proven experience as a Document
Controller or similar role in construction projects.
- Proficiency in document
management software such as SharePoint, Procore, or Aconex.
- Strong attention to detail and
excellent organizational skills.
- Ability to prioritize tasks and
manage time effectively in a fast-paced environment.
- Excellent communication and
interpersonal skills, with the ability to collaborate effectively with
cross-functional teams.
- Knowledge of construction
industry standards and regulations related to document control.
- Familiarity with CAD software
and other technical document formats is a plus.
- Ability to maintain
confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to
changing project requirements and deadlines.
