The client is looking for a School Front Office Secretary who will play a pivotal role of being the welcoming face of their educational institution. They will be responsible for managing the front office, this individual greets parents, students, and visitors warmly, handles phone inquiries, and directs communication between various stakeholders. Administrative duties include maintaining attendance records, assisting with enrollment processes, and providing crucial support for school events and activities. Proficiency in office software, excellent communication skills, and a friendly demeanor are essential. The School Front Office Secretary contributes to the overall efficiency and positive atmosphere of our school, ensuring a smooth and welcoming experience for all.
- At all times, observe and comply with all the school rules and procedures.
- Implement all daily routines as per guideline provided.
- Provide assistance to parents and visitors, reply to their queries,communicate about fees payments, provide information required, reply to emails and Whatsapp messages, attend calls etc.
- Assist teachers with lamination, printing, photocopies, children attendance, parents and children details, sharing information, passing the phone, etc
- Assit junior staff in obtaining meals.
- Assist employees with forms, reports, policies and guidelines.
- Mainatain updates school manager software, petty cash, HR, Students records,fees collections etc.
- Following up on child file checklist items with new children or current children when information changes ( e.g. new driver for pick up authorization).
- Maintain organized daily documentation in its respective folder.
- Assist employees to register "Sign In" and "Sign Out" on electronic attendance.
- Assist employees with petty cash requirements.
- Coordinate and supervise maintenance repairs and emergency intervention.
- Assist teachers with ordering cooking items (in line with class budget).
- Assits school coordinator with stocks provision and information about stock updates.
- Arrange handover of all documents for the previous month (Latest by 5th of the following month).
- Print the VAT report for the previous month, compile the sales records and send it over email.
- Print and file extended monthly VAT report.
- Assit the management with other tasks.
