Our Client, a company within the Mining Industry, is looking for a Human Resource Administrator will provide comprehensive administrative support to the HR department, ensuring accurate maintenance of employee records, documentation, and compliance with company and legal requirements. The role involves assisting in recruitment, onboarding, and off boarding processes, managing staff rosters, and coordinating HR documentation for payroll and reporting purposes. The position requires strong attention to detail, confidentiality, and effective coordination with site and operations teams to support smooth workforce management within the mining environment.
Responsibilities:
- Maintain accurate and up-to-date employee records in both digital and paper formats, ensuring all data is current, confidential, and securely stored.
- Ensure that all personal particulars and required documents (e.g., identification, contracts, medicals, certificates, clearances) are complete and in place for all incoming employees prior to onboarding or site deployment.
- Update and audit employee records and personnel files regularly to reflect changes in employment status, job title, contact details, and other relevant data.
- Crosscheck and provide accurate information related to staff rotation programs, rosters, and deployment schedules, in coordination with site and operations teams.
- Prepare and manage HR documents, including employment contracts, offer letters, confirmation letters, and termination notices.
- Prepare routine HR reports, including headcount summaries, leave balances, and expiry tracking for contracts, medicals, and certifications.
- Perform general administrative duties, such as filing, data entry, scanning, correspondence, and overall support to the HR team.
- Assist in the recruitment process, including posting job advertisements, scheduling interviews, and coordinating with candidates.
- Facilitate onboarding and offboarding processes, ensuring all forms and documentation are completed, signed, and properly recorded.
- Provide accurate employee data and documentation to the payroll team, including timesheets, overtime, leave records, and attendance logs, to support timely and accurate payroll processing.
- Track employee attendance, leave, and absences using the HR system or manual logs, ensuring alignment with rosters and payroll.
- Always maintain confidentiality and ensure compliance with company policies, labor laws, and internal HR procedures.
- Maintain confidentiality and discretion in handling sensitive employee information.
- Perform any other duties as assigned by the supervisor.
